Swallow Creek Ranch Rental

Rental Rate:
$12,000 in 2025 ($12,500 in 2026) for ceremony & reception package with up to 250 guests
Payment Policy:
When booking more than 1 year in advance: An initial non-refundable payment of 25% or $3000 must be made to secure an event date. The second payment of 25% or $3000 will be due exactly 1 year prior to the event and a final payment of 50% or $6000 will be due 180 days prior to the event.
When booking less than 1 year in advance: An initial non-refundable payment of 50% or $6000 must be made to secure an event date. The final payment of 50% or $6000 will be due exactly 180 days prior to the event.
When booking less than 180 days (6 months) in advance: The total non-refundable sum of $12,000 will be due in full to secure an event date. If fees are not paid by these deadlines we have the right to cancel your reservation.
Payment Options. Pay By Check: Please make a check out to “Swallow Creek Ranch” and your event date in the memo. Mail check to Swallow Creek Ranch - 6030 Hwy. 1, Cayucos, CA 93430. Damage Deposit. A refundable damage deposit of $500 is required 14 days prior to the event. The security deposit covers any damage caused to the property and ensures that the property will be returned in the condition in which it was received. The refundable damage deposit will be refunded within 2 weeks after the event. Any damage done by the guests or RENTER(S) will be the responsibility of the RENTER(S). Swallow Creek Ranch is not responsible for any lost or damaged articles.
Cleaning Fee. A non-refundable cleaning fee of $250 is required 14 days prior to the event.
Cancellation Policy. If a RENTER(S) chooses to cancel at any time and we are able to rebook the same date to another renter, then a refund of the total sums paid minus a $500 cancellation fee will apply. If however, the RENTER(S) cancels and the date is not rebooked the following will apply: cancellation more than 12 months from the event date, the initial sum paid of 25% or $3000 will be forfeited, cancellation less than 1 year from the event date but more than 180 days, the total sums paid of 50% or $6000 will be forfeited and cancellation less than 180 days prior to the event, the total sums paid of $12000 will be forfeited. Event Date Change. If the RENTER(S) needs to change the date of their event they may do so based on availability. A one time date change without fee penalty is permitted and all sums paid will be applied to the new date. Any applicable rate changes will apply. If a second date change is requested a $500 change of date fee will be charged to process the date change and any applicable rate changes will apply. Because the unforeseeable sometimes happens we recommend the RENTER(S) purchase event cancellation insurance.
Force Majeure Clause. A force majeure event refers to the occurrence of an event which is outside the reasonable control of a party and which prevents that party from performing its obligations under a contract. Acts of God, natural disaster (fires, explosions, earthquakes, hurricane, flooding, storms, infestations), epidemic, or pandemic, war, invasion, hostilities (whether war is declared or not), terrorists threats or acts, riot or other civil unrest; governmental action (order or law); actions, embargoes or blockades prohibiting any party from performing its obligations, and most recently, the COVID-19 pandemic are examples of a force majeure event. Under the law and within the parameters of this contract, if affected by such an event of force majeure we will not be liable for our inability to perform the obligations under this contractual agreement. During a force majeure event, you may be required to reschedule or alter your event location at any time. In the event of a necessary reschedule, and if rescheduled to another date within 12 months of the original date, we will waive rescheduling fees and all venue fees will be applied towards the new date (based on availability). In the event of inclement weather such as heavy rains or flooding and due to our dirt roads, a wedding ceremony scheduled for Hilltop Amphitheater may need to be moved either to SeaView Meadow or inside the barn. If the RENTER(S) chooses to cancel due to a Force Majeure event rather than reschedule, all venue fees paid are non-refundable and our cancellation policy will apply. It will be the responsibility of the RENTER(S) to follow and execute any and all governmental policies regarding the ability to have a gathering. This may include but is not limited to the use of masks, social distancing, sanitation, sneeze guards, etc. We strongly recommend the RENTER(S) purchase event cancellation insurance that includes coverage of force majeure events.
Allotted Time Periods. Use hours are from Friday 1:00 PM - 5:00 PM for set up and rehearsal, Saturday for the wedding/event from 11:00 AM - 11:00 PM and Sunday for breakdown and clean up from 9:00 AM - 12:00 PM. In accordance with county permit conditions, music must cease by 10:00 PM and guests must vacate the property by 11:00 PM. In order to accommodate this time restriction and still have ample time for all of your event activities it is recommended that your event start no later than 4:00 PM. Prior to departure by noon on Sunday RENTER(S) will check out with venue managers. Additional packages such as a rehearsal dinner and/or Sunday brunch are not included in these allotted time periods.
Event Coordinator. Swallow Creek Ranch management is not responsible for event coordination. RENTER(S) are required to hire one of the professional event coordinators from our pre-approved preferred vendor list.
